Project Overview and Role
The Australia Awards in Myanmar is managed by the Australian Government’s Department of Foreign Affairs and Trade (DFAT) and is administered by Palladium (previously Scope Global). Australia Awards are provided to build the skills and knowledge of individuals so that they can contribute to their country’s development, and to support the ongoing development of links between Australia and the countries to which it provides aid. The Australia Awards are an important part of the Australian Government’s focus on public and economic diplomacy, and provide long term Scholarships, Short Course Awards and other training opportunities.

The Program Officer (Scholarships) will support the Program Coordinator (Scholarships), and other Program personnel in Australia Awards Scholarships cycle management such as managing enquiries and applications, supporting application and selection processes, placing students into Australian universities, mobilising recipients, pre-academic support and pre-departure briefings.
Reporting / Working Relationships
The Program Officer (Scholarships) reports to the Program Coordinator. The Program Officer (Scholarships) also works closely with the Team Leader, Program Manager and all Australia Awards in Myanmar team members. The Program Officer (Scholarships) also works with partner institutions and representatives of target groups. This position will work remotely (work from home) initially.
Primary Duties and Responsibilities
Award management
Support the Program Coordinator (Scholarship) and other Program personnel to ensure that the application, assessment and interview processes are accurate, timely and transparent
Support the delivery and logistics for each stage of the scholarship cycle including promotion, assessment, selection, pre-departure, placement and on-award activities
Support the Program Coordinator (Scholarship) in managing enquiries from applicants and other parties, including the Student Contact Officers at Australian universities
Support the Program Coordinator (Scholarship) to monitor scholar academic progress and wellbeing, at risk scholar cases and scholarship variations
Manage the relevant online databases and tracking system related to the awards including the Australia Awards OASIS database
Maintain privacy and confidentiality of all Australia Awards activities and procedures
Contribute to Monitoring, Evaluation and Learning (MEL) activities as required, including surveys of alumni and other data collection and entry tasks
Administration
Develop and maintain a comprehensive understanding of DFAT’s Scholarship Policy Handbook and other relevant policies
Maintain attention to detail while managing scholar and applicant information
Provide administrative support for scholarship cycle activities
Ensure all relevant and sensitive information is uploaded onto SharePoint on a regular basis
Assist other program personnel when necessary to ensure all operational requirements are met
Relationship Management
Develop positive working relationship with DFAT Myanmar staff on all issue related to Scholarships
Develop positive working relationships with program clients and stakeholders
Other Duties
Provide ad hoc support to key stake holders including Student Contact Officers as required
Perform of any other duties as assigned or directed by the Program Coordinator (Scholarships) or the Team Leader
Effective Team performance
Promote a positive program and Palladium culture
Contribute to continuous improvement in service delivery and program performance
Work with a collaborative and team-based approach
Person Specification
Minimum Requirements/Key Selection Criteria

Essential
A degree in a relevant field such as Human Resource Management, Business Management or a related management discipline, or a Diploma in International Development
At least two years’ experience in administrative skills
Excellent communication skills and experience of working effectively across cultures with a diversity of clients
Experience in managing sensitive information and maintaining confidentiality
Experience in client and stakeholder relationship management
High-level English writing and speaking skills
Experience writing reports for clients and key stakeholders
A high standard of computer literacy, including the use of Microsoft Office, internet and email; and experience in data entry and data management
Knowledge of practical business principles and practice
Demonstrated sensitivity to gender and inclusion
Desired
A post-graduate qualification in one of the above listed fields.
Experience in consulting and negotiating with clients, stakeholders and team members.
Knowledge of development priorities in Myanmar.
