Position Title:  Major Gifts Coordinator

Reports to: Senior Development Officer, Western Region

Location: Boston, MA

Employment Type: Full-time

 

Position Overview:

 

The Major Gifts Coordinator will provide support to two to three members of the Major Gifts team, comprised currently of four Senior Development Officers (SDOs), in their efforts to engage, solicit and steward major donors. The Major Gifts team is part of the PIH Development Department’s Individual Giving program, and works particularly closely with other Individual Giving teams, the Communications team and with select site staff. The Coordinator’s primary responsibilities include managing Raiser’s Edge interfaces for the team, facilitating travel planning, expense reporting, events management, facilitating mailings, administering the acknowledgment process for significant donors, and providing general administrative support.

 

Responsibilities:

 

Database management (35%)

  • Act as the Raiser’s Edge point person for assigned SDOs. This includes working closely with the Development Operations team to assess coding, reporting and data modeling needs of the Major Gifts program.
  • Update and maintain donor contact information, notes, actions, and proposals in Raiser’s Edge.
  • Generate individual constituent and donor portfolio reports from Raiser’s Edge.

 

SDO logistical support (25%)

  • Provide administrative support to assigned SDOs, including: assisting with financial tracking for credit card statements and expense reports; managing weekly meetings and recording minutes for future review by department leadership; assisting with all aspects of SDO travel booking and management; scheduling meetings for team members; and coordinating conference calls.
  • Assist with cultivation event logistics, including: securing sites and venues; selecting and managing vendors; interfacing with hosts; managing event flow; handling event wrap up, including bill payment and expense reconciliation.

 

Donor support and gift processing (20%)

  • Serve as one of the primary points of contact on the team related to individual major donors. Generate mailing lists, acknowledgements, and reports for the Major Gifts team.
  • Draft and edit grant proposals and reports as needed.

 

Stewardship (20%)

  • Support mailing production calendars for individual major donors, including quarterly newsletters, annual reports, cultivation and appeal mailings, holiday cards, donor listing confirmation mailings, and event invitations.

 

 

Qualifications:

 

  • Passion for the mission of PIH. 
  • Bachelor’s degree or equivalent work experience1-3 years of Development experience desirable
  • Excellent writing and communication skills; competent at budget and expense management.
  • Demonstrated competence in assessing priorities and managing a variety of competing priorities in a time-sensitive environment, meeting deadlines with attention to detail and quality.
  • Capacity to represent PIH in a highly professional manner and ability to handle confidential information with discretion.
  • Motivated to participate actively in a learning environment; resilient and flexible.
  • Solid computer skills in a PC environment with the capability to master new software applications. Skilled user of Excel, PowerPoint, and Microsoft Word; working knowledge of Raiser’s Edge a plus.
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries.
  • Interest in social justice strongly desirable.
  • Occasional domestic travel (<10% of time) may be required.
