Position Title:  Executive Assistant

Reports to: Provost for Academic Affairs and Research

Location: Remote; Haiti

Employment Type: Full-time, Regular

 

Position Overview:

The Executive Assistant works alongside the Provost of Academic Affairs and Research, serving as a member of the team. This person will perform a variety of sensitive tasks, serving as a point of contact between the provost and others. An ideal candidate is responsive, thoughtful, polite, friendly, self-directed, organized, positive, and seeking a challenging role.The role is open to remote work in the United States initially, but the candidate must be willing to relocate to Haiti.

Responsibilities:

  • Handles executive correspondence.
  • Drafts minutes of executive meetings.
  • Assist the Provost in managing her calendar.
  • Prioritizes and manages communication.
  • Archives and organizes documents as requested by the provost.
  • Supports the management of all activities related to the Department of the Provost.
  • Prepares quarterly, annual, and expense reports for the provost.
  • Schedules and organizes meetings.
  • Plans and organizes events.
  • Assists with minor accounting functions.
  • Prepares and forwards disbursement vouchers to finance and accounting for the Department needs/activities.
  • Prepares and routes requisitions to the purchasing and operations departments.
  • Analyzes budgets for upcoming activities.
  • Collaborates with finance, accounting, and human resources offices.
  • Arranges transportation travel.
  • Drafts or revises documents and emails.

Qualifications:

  • High school diploma requires, some college preferred.
  • Minimum two years of experience as an administrative assistant, preferably in Haiti.
  • Strong computer skills including Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Experience collaborating with international stakeholders.
  • Must be fluent in French, Haitian Creole, and English.
  • 5+ years of experience living and working in a low resource setting, preferably in Haiti.
  • Highly organized.
  • Experience working with confidential information.
  • Polite, congenial.
  • Exemplary interpersonal skills: ability to collaborate effectively with culturally diverse staff across departments and country.
  • Interest in social justice strongly desirable.
