Organization Description:

Community Outreach and Patient Empowerment (COPE) is a Native-controlled, non-profit entity 501©3 based in Gallup, NM. COPE works closely with several Boston-based partner organizations, a global non-profit organization called Partners In Health (PIH) and academic teaching hospital Brigham and Women’s Hospital (BWH). COPE has an annual budget of $4.5M and a New Mexico-based staff of approximately 25 individuals.

 

Position Title: Project Coordinator

Reports to:Program Supervisor

Location: Gallup, New Mexico (based at the COPE office)

Position Type: Full-time (may include eveningsor weekends)

 

Position Overview

COPE’s Project Coordinator serves as a key member of the program team and works in close collaboration with the other team members to implement and sustain ongoing programming. The coordinator will work to ensure the day-to-day work is in line with COPE’s mission and supportive of our partners and community members. This position requires someone who is highly organized to ensure daily operational tasks are completed and compliance is maintained while simultaneously fostering an inclusive environment. This position must foster and embrace a culture of learning and innovation.

 

The principal responsibilities of the position include:

 

Coordination

  • Coordinate with the program team to schedule meetings, trainings, events, workshops, for program activities including preparing for meetings with required materials and food/refreshment for events; attending meetings as needed for documentation and active participation; and any follow-up communications.
  • Assist team with coordination and proactive communication with staff and stakeholders through workshops, emails, in-person meetings and site visits to programs to support the implementation of initiatives, troubleshoot challenges, and assess ongoing progress.
  • Coordinate event planning logistics, participation, evaluation, and communication.

 

Program Support

  • Support the implementation of the project work plan activities under the supervision of the Outreach Supervisor in collaboration with other team members.
  • Draft content including monthly progress reports for stakeholders, abstracts for articles, conference presentations, informational pamphlets, etc. for specialist/supervisor/manager approval.
  • Assist with program evaluation, including entry of feedback forms, competency assessments,vouchers as needed, and survey data, data analysis, summarizing findings, and providing reports and feedback to COPE staff and other stakeholders.
  • Updating, organizing, and maintaining databases (i.e.dropbox, logs, data analytics) and listing of sites, community partners, and participants.
  • Assist with financial tracking including invoicing and mileage expense reports, reimbursements to partners, monitoring of monthly expense reports.
  • Assisting with procurement including supply lists, inventory, and ordering for program needs.
  • Assist the team in quality improvement of the program. 

 

Training Support

  • Assist the team to provide ongoing support and technical assistance to partners.
  • Work under the guidance of the Program Managers and Specialists to ensure accurate curriculum and materials are available to team and partners.
  • Assist in maintenance of program material and resources.
  • Assist Specialistsin trainings as determined by need of collaborative partners.
  • Assist with training modules that can be administered through web-based, webinars, or other digital or electronic type of formats.

 

Outreach Support

  • Provide on-going technical assistance and resources to sites under the guidance of the Program Manager/Specialists.
  • Assist with soliciting, documenting, and responding to feedback from community members and partners
  • Schedule and coordinate visits and meetings with collaborative partnering organizations and programs.

 

Perform other duties as required

      

Qualifications:

  • Bachelor’s Degree + 1 year relevant experience or Associate’s Degree + 2 years relevant experience; or 4+ years relevant work experience.
  • Prior experience in complex, fast-paced environment. 
  • Ability to exhibit a professional, positive attitude, empathy, and strong work ethic.
  • Demonstrated willingness to learn and receive constructive feedback.
  • Demonstrated intellectual independence and ability to take initiative.
  • Background in public health or project coordination preferred.
  • Excellent written/oral communication skills.
  • Experience in developing presentations, resource guides, web-based training modules, and communication materials.
  • Understanding of working in an organization and respect for the chain of command.
  • Strong analytic, organizational, and time management skills.
  • Ability to reflect Diné values and be role model in positivity for partners and staff.
  • Honesty, accountability, and transparency with a commitment to equity in Indigenous communities.
  • Ability to manage uncertainty and challenges while maintaining positivity.

  • Ability to handle confidential information with discretion and professionalism.
  • Local knowledge of Navajo culture and tribal health system required.
  • Computer and database skills in Office 365, including Excel, Powerpoint, Publisher, and Microsoft Word, Outlook, and Teams.

 

Work Conditions:

  • The Coordinator may need to work outside normal business hours to meet deadlines
  • Must have own reliable transportation and be willing to use it for work travel, including making work drives regionally
