Position Title: Award Manager – COVID

Reports to: Director of Grant Management

Location: Boston, MA (with approximate 10% travel)

Employee Type: Full Time, Temporary, 12-month contract


Position Overview

Lead global oversight, implementation tracking, and knowledge sharing of restricted awards across individual, corporate, foundation, and public sector portfolios directly related to COVID.  The position will coordinate with clinical, finance, fundraising, and program colleagues in Boston and at field sites with respect to project implementation, workplanning, monitoring and evaluation, and consolidation of lessons learned and innovations across the spectrum of COVID preparedness, response, and recovery efforts.  Responsibilities are specific to PIH’s international and domestic COVID programming.



Award Management (80%)

  • Organize and oversee PIH’s COVID domestic and international grant portfolio in collaboration with field sites and PIH Boston office.
  • Lead the development of award management tools, systems, and policies related to emergency response needs.
  • Lead the transition of restricted awards from fundraising to implementing teams through launch meetings and workshops.
  • Provide technical project management guidance and support to field sites in the generation of key project documents to guide quality implementation and donor compliance.
  • Oversee the development of contractual arrangements with third parties engaged by PIH in connection with COVID initiatives, and monitor ongoing compliance with the terms of such arrangements.
  • Coordinate the monitoring of PIH and partners’ activities with key stakeholders and make sure all activities are being implemented on time and on budget.
  • Manage calendar of reports due to funders and timing of narrative and financial reporting requirements; liaise with program and finance staff to fulfill content requirements and write and develop reports.
  • Closely support the review, assembly, and submission of reporting packages, notably final reporting and associated end of project evaluations.
  • Guide and advise teams as they prepare for award close-out together with finance and compliance teams, including handover of donor relationships to ensure donor stewardship continuity beyond COVID.
  • Occasional travel to field sites for project monitoring and collaborations with project managers and programmatic and administrative staff.
  • Troubleshoot and problem-solve any problems related to grant implementation.


Learning & Collaboration (20%)

  • Lead in the development of regular situation reports to facilitate learning exchange, collaboration, and external engagement of multiple teams. 
  • Oversee effective communication with all partners, including organizing internal and external meetings and presentations at conferences and meetings.
  • Participate in meetings and actively coordinate with COVID research, clinical, and site teams to stay abreast of PIH evolving needs, interests, and innovations.
  • Lead proper tracking and knowledge management for all efforts within PIH dedicated systems and portals.
  • Represent PIH at external conferences and donor/partner meetings and accompany PIH technical and program leads at donor/partner meetings; complete contact reports and keep profiles updated.
  • Support the dissemination of knowledge and capacity building activities with internal colleagues through training, posting resources, communications, etc.



  • Bachelor’s degree required.
  • At least 5 years project management experience and/or related programmatic experience in international development context.
  • Demonstrated track record in managing and/or implementing restricted donor awards (government, foundation, corporate) in global health, infectious disease, and/or emergency response nature.
  • Project management field experience preferred.
  • Familiarity with program/project management tools and processes preferred.
  • Superlative organizational skills; ability to manage complex projects from creation to completion, plan and prioritize multiple projects, and coordinate teams to meet deadlines.
  • Able to travel approximately 10% both domestically and internationally
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries.
  • Interest in social justice strongly desirable.
  • Ability to read and write in French and/or Spanish preferred.
