CES JOB DESCRIPTION

 

Position Title:Volunteer and Events Supervisor

Reports to: Human Resources Coordinator

Location: Ángel Albino Corzo, Chiapas

Employment type:Full time – volunteer

Contract duration:1 year

 

Position Overview:

The Volunteer and Event supervisor will assist the Human Resources Coordinator in overseeing CES’ volunteer program, as well as assist in event planning and management, and by creating a work environment that is supportive to the organization’s human resource needs. This is an excellent position for a candidate with an interest in organization development, human resources or people management in the non-profit sector. This role will be based in CES’ central office location in Jaltenango, Chiapas, Mexico and be essential to human resource support.

 

Responsibilities:

 

  1. Volunteer Administration

Around 10% working time

  • Create, organize and maintain volunteer records
  • Prepare HR documents, like volunteer contracts, proof of volunteering
  • Update volunteer documents like hire volunteer guides
  • Update internal databases (holidays, days off, etc.)
  • Answer volunteer queries about HR-related and CES-related issues
  • Arrange travel accommodations and process expense forms
  • Participate in HR projects

 

  1. Volunteer recruitment

 Around 40% working time

  • Work with program coordinators to identify needs of volunteer’s staff
  • Create a database of job postings and link vacancies to well defined job descriptions and skills
  • Publish the volunteer positionson website and social platforms
  • Screening and initial interviews with volunteer candidates
  • Coordinating volunteer interviews and selection with program coordinators
  • Leading onboarding process for volunteers in collaboration with PIH Boston and the CES HR coordinator
  • Build a database that allows easy tagging and searching. Keep track of applicants and inform them of new positions.
  • Collaborate with the Clinical Recruitment Volunteer to onboard rotating physicians and residents as well as collaborate with Primary Care Coordinator and SaludMaterna Coordinator to create their work plan and onsite logistics.

 

 

  1. Organizational Culture and development

Around 40% working time

  • Design volunteer work plans with volunteers and program managers.
  • Leading volunteer orientation and support volunteers as they adjust culturally to the CES site and staff
  • Work with HR Coordinator to strengthen CES’ internal tools to evaluate program implementation progress and wellbeing in workplace and lead internal evaluation process to determine volunteer satisfaction and wellbeing, report to HR coordinator to improve program based on evaluation results.
    1. Design and implementation and monitoring of Onboarding surveys of new volunteers
    2. Design and implementation and monitoring of volunteer exit surveys
    3. Lead monthly volunteer feedback/bonding activity
    4. Work plans for CES volunteering improvements
  • Follow-up and support to volunteers during their stay in Chiapas
  • Guest House “Casa Verde” management
  • Collaboration with the Logistics Coordinator to secure housing and transport for volunteers and visitors

 

  1. Events Coordinator Responsibilities

Around 10% working time

  • Coordination with HR Coordinator and Clinical Director to assist in Monthly Global Health Course logistics – specifically, manage “breakfast team” preparation and let the office staff know how many people will be present for each day of the course.
  • Organization of events such as: annual retreats, integration activities, etc.

Depending on the activities and needs, the responsibilities can be adapted according to the specific projects conferred by the immediate leader.

 

Context:

All applicants should have high proficiency in Spanish and be able to confidently carry out work conversations exclusively in Spanish. CES also looks for applicants who have a demonstrated ability to adapt to rural conditions, such as candidates who have lived in a resource-poor or rural area previously or who have participated in wilderness or camping activities.

Qualifications:

 

?        Education:

  • Background in one of the relative areas preferred (business, organizational psychology, communications, or interest in HHRR) or 1-year experience in human resources.

?        Experience

  • 6 months of experience leading teams or groups
  • Desirable experience or strong interest in recruitment and people management
  • Desirable experience or interest in a low-resource or rural setting

?        Technical Skills

  • Spanish and English fluency or high proficiency
  • Fluency with computer programs (Word, Excel PPT and calendar management)
  • Desirable knowledge of Gsuite and Microsoft365

  • Proactive and collaborative work style.
  • Well-developed organizational skills
  • Ability to problem-solve as part of a team and with limited resources
  • Adept at and enjoyment of managing multiple projects.
